How to Verify Commercial Table Base Quality Before Bulk Import from China
Most table base quality problems do not appear in the sample. They appear in container two, three and four.
That is the uncomfortable reality of bulk importing from China. A supplier sends a flawless sample, wins the order, then quietly reduces plating thickness, shortens weld passes or downgrades the packaging on the production run, betting that a buyer 8,000 km away will not check.
The cost of discovering this after delivery is severe:
• Return freight and disposal on a full container
• Rework or replacement at your own expense
• Delayed installation for a venue that is already paying rent
• Damage to your reputation with your own customer
Inspection before shipment costs a small fraction of that. This guide sets out the five checks that catch most commercial table base defects, the points in the production timeline where each check belongs, and the contract terms that make them enforceable.
Why inspection beats price negotiation
A common mistake in first-time sourcing is spending all the negotiating energy on unit price and none on acceptance criteria.
Saving a few dollars per unit on a 1,000-unit order is a real gain, but it is small next to one rejected container. Freight, storage, disposal, replacement production and air freight to meet a deadline routinely exceed the entire saving, before counting the damage to your customer relationship.
Buyers who source repeatedly tend to shift their attention over time: less on the last few percent of price, more on what happens when a batch goes wrong. The checklist below is the tool for that.
The 5-point table base quality checklist
1. Weld seam inspection
Welds are the first thing to fail and the hardest to see in a photo.
What to look for:
• Full penetration on fillet welds at the three high-stress joints: column to mounting plate, column to base plate, and any cross-brace connection.
• No pinholes, porosity or undercut. These are the starting points for cracks under repeated lateral load.
• Consistent bead size. A weld that suddenly thins along its length usually means the operator sped up to hit a quota.
Ground flush where the customer sees it, but insist on seeing the raw joint underneath before finishing.
How to check it remotely:
• Ask for close-up video of each joint, not a wide shot of a finished base. Ten seconds per joint is enough.
• Ask the welder to run a finger along the bead on camera. Irregular beads are obvious by touch, even on video.
• For critical orders, request a dye penetrant test on one sample from the batch. It is inexpensive and reveals surface cracks that paint hides.
Where buyers get caught: filler and paint. Cosmetic putty over a poor weld looks perfect in photographs and fails within months in a busy restaurant.
2. Plating and coating thickness
This is the single biggest driver of "my legs rusted in the warehouse" complaints.
Electroplated zinc or chrome on commercial table bases should be specified by thickness, not by appearance. A common minimum for interior commercial use is 8 µm, with thicker coatings for humid or coastal destinations.
Ask for:
• A coating thickness reading from the actual production batch, taken with an XRF or magnetic gauge, with the date and batch number visible.
• A salt spray test result if the destination is humid or the tables will sit on a covered terrace. Salt spray hours correlate far better with real-world corrosion than any visual inspection.
The trap to avoid: a test report dated a year ago, or one produced on a sample that was polished by hand. Production parts never match a hand-polished sample.
It is also worth asking directly whether plating is done in-house or by a subcontractor. Most factories outsource it, which adds a quality variable the supplier does not fully control.
3. Load capacity and stability testing
Load claims deserve more skepticism than any other specification.
A static load figure on its own says very little. Steel will survive an enormous vertical load in a press and still fail in service, because real tables are leaned on, dragged across the floor, pushed sideways and sat on. A base that passes a heavy dead-weight test can still wobble under a modest lateral shove.
Ask for these three instead of a headline number:
• Static load with deflection measurement. Not just "it held" — how much did the top deflect, and did it spring back to zero?
• Lateral stability. Weight in the base plate matters more than weight in the column. Ask for the base plate dimensions and the unit weight, then compare them against the table top size you intend to use.
• Repeat-cycle behaviour. Ten cycles of load and release will reveal whether the mounting plate deforms permanently.
A note on certification.Many suppliers quote test numbers without a report that traces back to a specific product. If you need documented, certified load testing for a tender or a commercial project, confirm in writing which product, which standard and which testing body — and be prepared for some suppliers to be unable to produce it. A supplier that is honest about not holding a particular certification is more useful to you than one that sends a certificate belonging to a different model.
Remote verification: ask for video of the actual test being performed, with the load visible on a scale and the deflection shown against a straight edge. A PDF certificate proves less than sixty seconds of uncut footage.
4. Packaging for sea freight
Almost no table base fails on the factory floor. A meaningful share fails somewhere between the loading dock and your warehouse.
A packaging specification for commercial table bases should include:
• Inner corrosion protection. VCI paper, rust-preventive oil or a wrap layer, chosen for the destination climate.
• Outer carton. Five-layer corrugated as a baseline; double-wall for cast iron legs and heavy bases.
• Pallet. Heat-treated and stamped to ISPM 15. Without the stamp, the pallet can be refused at destination.
• Corner and edge protection. Bare metal on cast iron edges chips in transit and reads as rust by the time it arrives.
• Load restraint inside the container. Bases are heavy and dense. If they are not strapped or braced, they move.
If your order ships as LCL, in a shared container, the packaging standard needs to be higher, not lower. Your cartons will be stacked and unstacked by people with no interest in what is inside them.
Inspection action: photograph the pallets after wrapping and before the container doors close. That single set of photos resolves most transit damage arguments.
5. Factory audit essentials
If you cannot visit in person, a thirty-minute video call still tells you a great deal — provided you ask to see specific things rather than accepting a guided tour.
Ask to see:
• The welding stations running, with the parts currently in production
• The plating line, or the name of the plating subcontractor
• Where measuring tools are kept, and the calibration sticker on them
• The finished goods area, so you can see how many customers' orders are in progress
• The packing area, with the cartons being used for your order
Questions worth asking on that call:
• Which parts of this table base do you make in-house, and which are bought in?
• What is your reject rate on welding, and what happens to a rejected part?
• How many containers do you ship per month, and to which markets?
• When a batch fails your own inspection, what is the process?
• Can you show me your last three container loading records?
A supplier who answers these quickly has been asked them before. A supplier who becomes vague has not.
Where inspection fits in your order timeline
Inspection is not a single event at the end. Spread across the order, it catches problems while they are still cheap to fix.

The pre-shipment inspection (PSI) is the one that matters most. Once the container doors close, your leverage drops sharply.
What to put in your supply contract
Verification only has teeth if the contract gives it teeth. Terms worth negotiating before the first order:
• A written specification sheet covering material grade, finish, coating thickness, base plate dimensions and packaging. "Standard export packing" is not a specification.
• An acceptance threshold and remedy. A common structure: defect rate above 2% triggers either a credit or replacement, at the supplier's cost.
• Right of inspection. Explicit permission for you or your nominated third party to inspect during production and before loading.
• Sample retention. Both sides keep a signed reference sample. Disputes about "that is not what we agreed" are settled by pulling it out of the cabinet.
• A warranty period. Twelve months against structural failure, weld cracking and coating defects is a reasonable ask for commercial furniture.
• Spare parts availability. Table bases are long-life products. Confirming that mounting plates and hardware remain available for several years protects your customers.
When to hire a third-party inspection company
For a first order from a new supplier, or any order where the value of a rejection exceeds the inspection fee, a third-party inspection usually pays for itself.
What to specify in the booking:
• The exact product and quantity
• The finish and coating thickness you contracted for
• Random unpacking of a set number of cartons, not a guided sample
• Photographic evidence of every check
Firms such as SGS, Bureau Veritas, Intertek and TÜV all offer pre-shipment inspection services. Fees are normally quoted per inspector-day, so cost depends on order size and how far the factory sits from their nearest office.
Insist on a short-notice inspection where possible. A supplier with two weeks' warning can prepare a good batch.
Red flags that predict a bad shipment
Experienced buyers treat the following as warnings to investigate, not as individual reasons to walk away:
• No video call tour offered, or an excuse each time you ask
• Refusal to run a paid sample order, or a clear difference between sample and production
• A material certificate that cannot be traced to your order
• Coating thickness discussed in terms of appearance rather than microns
• Packaging described only as "standard export packing"
• A price clearly below market without a credible explanation
• Reluctance to allow third-party inspection access
• Pressure to pay a deposit outside normal payment terms

FAQ
How do I check table base quality without visiting the factory?
Ask for uncut video of three specific things: the welds on the column-to-plate joints, a coating thickness reading taken on production parts, and the packed pallets before loading. Specific requests are much harder to stage than a general factory tour. If the order value justifies it, book a pre-shipment inspection.
Is a 500 kg load capacity rating meaningful?
Not on its own. A static load number does not describe how a table behaves when it is leaned on, dragged or pushed sideways. Ask for deflection measurements, base plate dimensions and unit weight, and check lateral stability — that is what determines whether a table feels solid in service.
Should I inspect every order or only the first one?
Inspect more heavily at the start. A first pre-shipment inspection establishes what "good" looks like for that supplier and product. After two or three clean batches, reduce to random spot checks, and return to full inspection whenever the supplier changes a subcontractor, a material source or a production location.
Can inspection be combined with a consolidated shipment?
Yes. If your order ships as LCL, arrange the inspection before the goods are handed to the consolidator. Once cartons are mixed into a shared container, inspecting your portion becomes much harder.
What defect rate should I accept?
For commercial table bases, a 2% defect rate is a common contractual threshold, triggering credit or replacement. Anything above that on a first order suggests the process, rather than an individual part, is out of control. Keep cosmetic defects and structural defects under separate thresholds — a paint blemish and a cracked weld should not be treated the same way.
